This policy explains how Digital Network Designs LLC ("DND," "we," "us") handles personal information. It covers this website, digitalnetworkdesigns.com, and the services we provide to clients.
Two different roles. When you contact us or become a client, we decide how your information is used — we are the controller. When we host a website for a client, we handle their visitors' data on their instructions — we are a processor, and that client's own privacy policy governs. Section 7 covers this.
1. Information we collect
Information you give us
- Enquiry and contact forms: your name, business name, email address, phone number, current website, and whatever you write in the message field. We also record the IP address and timestamp of the submission, which we use only for spam prevention and rate limiting.
- Client account information: billing contact details, mailing address, and the details needed to provide Services.
- Credentials you share with us so we can do the work: registrar logins, hosting panel access, CMS accounts, and similar.
- Correspondence: emails, messages, and call notes.
Information collected automatically
- Server logs. Our web server records the IP address, request time, page requested, HTTP status, referring page, and browser user-agent string for requests to this site. This is standard web server operation and is used for security and troubleshooting.

Information we do not collect
We do not knowingly collect information from children under 13. We do not collect sensitive categories of personal information such as health data, biometric data, or precise geolocation. We do not buy personal information from data brokers.
2. Payment information
We do not store full payment card numbers. Payments are processed by third-party payment processors, who receive your card details directly and are responsible for their security under their own privacy policies. We receive confirmation of payment, the last four digits, and billing contact details.
3. How we use information
- To respond to enquiries and prepare quotes.
- To provide, maintain, and support the Services you have engaged us for.
- To invoice you and collect payment.
- To send service-related communications: maintenance notices, outage notifications, renewal reminders, and changes to our policies. These are not marketing and you cannot opt out of them while you are a client.
- To secure our systems, investigate abuse, and prevent fraud.
- To comply with legal obligations and to establish or defend legal claims.
We do not use your information for automated decision-making that produces legal effects.
4. Marketing
We may email existing clients about services related to what they already use. Every marketing email includes an unsubscribe link, and unsubscribing does not affect service communications. We do not send unsolicited bulk email.
5. Who we share information with
We do not sell personal information. We do not share it for cross-context behavioral advertising.
We disclose information only in these circumstances:
- Service providers who help us operate: payment processors, email providers, domain registrars, certificate authorities, accounting services, and backup providers. They receive only what they need and are bound to protect it.
- Subcontractors working on your project, bound by confidentiality obligations.
- Legal requirements: in response to a valid subpoena, court order, or other lawful request, or where we believe disclosure is necessary to protect the rights, property, or safety of DND, our clients, or the public.
- Business transfer: if DND is merged, acquired, or sells substantially all its assets, client information may transfer as part of that transaction. We would notify you.
6. How long we keep information
- Enquiries that do not become projects: up to two years, then deleted.
- Client records and correspondence: for the duration of the relationship and for a reasonable period afterwards.
- Invoices and financial records: at least seven years, as required for tax and accounting purposes.
- Server logs: a rolling window, typically not more than ninety days, except where retained for an active security investigation.
- Backups: on a rolling retention schedule; deleted data persists in backups until those backups age out.
7. Data on sites we host
When we host a website for a client, that site may collect information from its visitors — contact form submissions, account registrations, orders, donations. In that situation:
- The client is the controller of that data and determines why and how it is used.
- We are a processor. We store and secure the data, and we access it only as needed to provide hosting and support, at the client's direction, or where required by law.
- We do not use hosted client data for our own purposes, and we do not sell it.
- Each hosted site is responsible for its own privacy policy and for meeting any legal obligations that apply to it.
If you are a visitor to a site we host and have a question about your data, contact that site's owner. If you cannot reach them, contact us and we will forward your request.
8. Security
We protect information with measures appropriate to its sensitivity: HTTPS on all sites we host, access controls limiting who can reach client systems, patching and updates, and encrypted backups. Only people who need access to a system have it.
No system is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any required authorities as the law requires, without unreasonable delay.
9. Your rights
Depending on where you live, you may have rights to:
- Know what personal information we hold about you and how we use it.
- Access a copy of it.
- Correct information that is inaccurate.
- Delete it, subject to our legal and contractual retention obligations.
- Opt out of the sale or sharing of personal information. As stated, we do neither.
- Not be discriminated against for exercising these rights.
Texas residents have these rights under the Texas Data Privacy and Security Act. Residents of California, Virginia, Colorado, and other states with comprehensive privacy laws have comparable rights.
To exercise a right, email privacy@digitalnetworkdesigns.com. We will verify your identity before acting, and respond within forty-five (45) days, extendable once where reasonably necessary. There is no charge unless a request is manifestly unfounded or excessive. If we decline a request, we will explain why and you may appeal by replying to our response; we will answer an appeal within sixty (60) days.
10. Links to other sites
Our site links to client websites and other third-party sites. We are not responsible for their privacy practices. Read their policies.
11. Where information is stored
Our servers and operations are located in the United States. If you contact us from outside the US, your information will be transferred to and processed in the US, where privacy laws may differ from those in your country.
12. Changes to this policy
We may update this policy. The effective date at the top changes when we do. For material changes we will give notice by email or a notice on this site before the change takes effect. Continuing to use our services afterwards means you accept the updated policy.
